If your clinic website receives visits but few patient enquiries, check three things first: whether the visitors need your services, whether the website makes contact easy, and whether enquiries are being recorded correctly. More traffic will not resolve a broken form, unclear service information or unanswered requests.
For doctors in Cyprus, the gap may also involve location, language or confusion about GESY and private access. This guide helps you find the specific problem before increasing advertising spend.
1. Confirm what you are calling an enquiry
Start with reception’s records and the website’s form inbox. Compare them with your analytics for the same period. A page view is not an enquiry. A tap on a phone number is not proof that a call connected. A submitted form is not automatically a qualified patient or a confirmed appointment.
Use separate measures for form submissions, phone-button clicks, relevant enquiries, appointment requests accepted and appointments attended, where the practice can track them appropriately. Google Analytics allows important interactions to be measured as events and selected as key events; the configuration still needs to reflect the action that actually happened.
A useful first check is an agreed test submission: does the confirmation appear, does the email arrive, and does the event trigger once? Mark test entries clearly and exclude them from business reporting. Read Google’s explanation of events and key events.
2. Check whether the traffic matches the service
Open the search queries and landing pages that attract visitors. Someone reading general advice may be researching rather than looking for a local appointment. That visit can still be useful, but it has a different purpose from a search for a specific doctor in Limassol or a private consultation in Paphos.
- Does the landing page describe the service searched for?
- Is the practice’s city and address easy to find?
- Are the consultation language and relevant access arrangements clear?
- Does an advertising campaign send people to the right service page?
If visitors repeatedly ask about a service you do not offer, improve the wording and targeting. If they need a service you do offer but cannot find it, improve the page structure and internal links. Our Google Ads guide for doctors explains how campaign intent and landing pages should connect.
3. Answer the practical questions before the contact button
A patient should be able to establish who provides the care, what the appointment is for, where it takes place and how to request it. Present credentials accurately and use photographs of the actual practice where possible.
Explain whether the enquiry is for private care or a GESY service, where relevant. If a fee varies by the appointment, tell the reader how to confirm it. Avoid suggesting that an enquiry guarantees an appointment time.
“Request an appointment” is a clear action when reception must confirm availability. Add a realistic response expectation based on the practice’s own process, rather than inventing a promise such as a reply within minutes.
4. Follow the contact journey on a phone
- Open the actual landing page on a phone.
- Find the relevant doctor or service without using the site’s search box.
- Locate the phone number and appointment-request option.
- Check that the form labels, keyboard and consent information are readable.
- Complete an authorised test and check both confirmation and delivery.
Look for overlapping banners, tiny buttons, clipped headings and forms that require unnecessary information. A short general enquiry form can ask for contact details and a broad reason for contact; it should not invite a full medical history unless the practice has an appropriate system and purpose for collecting it.
5. Review what happens after the enquiry arrives
Website conversion is only one part of the process. Assign responsibility for checking requests, returning missed calls and updating appointment availability. Confirm where submissions go when a receptionist is absent.
Record a simple outcome for each enquiry without placing sensitive health details in marketing reports. For example: relevant request, outside our services, duplicate, unable to reach or appointment arranged. Patterns in these outcomes show whether the problem sits in targeting, website clarity or follow-up.
Choose the next action from the evidence
- Search impressions but few visits: review the query, search result and competing options.
- Relevant visits but few contact attempts: review the service explanation and contact journey.
- Contact attempts but missing submissions: check form validation, delivery and tracking.
- Enquiries but few appointments: review suitability, availability and response handling.
Keep the observation period and definition of an enquiry consistent. With small numbers, one week can give a misleading impression. Compare like-for-like periods and annotate major changes.
Frequently asked questions
1. What is a good conversion rate for a clinic website?
There is no single useful target for every practice. It depends on the service, visitor intent, traffic source and what counts as a conversion. Establish a clean baseline before using a benchmark.
2. Will a redesign automatically create more patient enquiries?
No. A redesign should address an identified problem. If the main issue is unsuitable traffic or slow follow-up, changing the layout alone will not resolve it.
3. Should we increase the advertising budget?
First verify that relevant visitors can enquire successfully and that reception can respond. Increase spend only when the journey and measurement are working and the practice has capacity.
